Operations and Human Resource

Deputy Chief Operating Officer

Responsibilities

  • Overseeing the ABYA’s ongoing operations and procedures. The goal of the Deputy COO position is to secure the functionality of ABYA to drive extensive and sustainable growth.
  • Assist the COO in overseeing all operation & technology matters
    • Take charge of ABYA correspondence to members, executives, and external parties (for example, responding to external enquiries on social media and email.)
    • Oversee the performance management procedure that tracks and assesses the organization’s progress toward its objectives.
    • Creation and implementation of reporting and measurement systems
    • Determine the next level of information technology systems that will support the expansion of certain programs and ABYA as a whole by analyzing the current technology infrastructure.
  • Oversee all human resource matters
    • Recruitment & onboarding matters of members & executives
    • Monitor performance of executives & ExCo
    • Introduce a human capital development strategy, and improve all aspects of human resources management, such as hiring, training, and benefits.
  • Plan the annual operations in coordination, for example, organise Annual Townhall and EOY with ExCo
  • Make a strong daily leadership presence available to all employees. Spread the brand’s message both inside and beyond the company.
  • Administrative components, such as grant writing and proposal preparation.

 

Commitment Period

2 years, at least 3 to 4 hours per week

Human Resource Officer

Responsibilities

  • Assist COO in overseeing all human resource matters regarding the organisation
    • Recruit, interview, and select potential incoming ABYA members
    • Plan and coordinate resources to train and develop ABYA executives
    • Create and manage evaluation assessments to keep track of overall performance
  • Introduce a human capital development strategy, and improve all aspects of human resources management, such as hiring, training, and benefits.


Commitment Period

At least 2 to 3 hours per week

Community Building Executive

Responsibilities

  • Work with Human Resource Officer to plan a community engagement strategy for ABYA’s community
  • Implement the engagement strategy to build a robust and engaged community network through various means, such as internal events, social media, and knowledge-sharing of ASEAN-related information
  • Act as ABYA’s internal spokesperson with its internal community

 

Commitment Period

At least 2 to 3 hours per week

Operations Executive

Responsibilities

  • Assist the COO and Deputy COO in taking charge of responding to members, executives and external parties’ queries on social media and email
  • Tracking performance management procedure to assess the organization’s progress toward its objectives.
  • Create and implement reporting and measurement systems
  • Work with Data Analysts to determine the next level of information technology systems that will support the expansion of certain programmes and ABYA as a whole by analyzing the current technology infrastructure.


Commitment Period

At least 2 to 3 hours per week

Automation Specialist

Responsibilities

  • Identifying patterns and trends in data sets to identify business opportunities
  • Supervise data systems and networks
  • Propose data systems and networks to organize, store and analyze data
  • Safeguard security and confidentiality standards

 

Commitment Period

Dependable on frequency of events organised. Approximately at least 2 hours per week

Website Manager

Responsibilities

  • Oversee the functionality of the website
  • Evaluate and manage website performance with metrics
  • Facilitate hosting and server management
  • Work with Graphic Designer to develop, maintain, and update website content.

 

Commitment Period

Dependable on frequency of events organised. At least 1 to 2 hours per week

Programmes and Events

Chief Programme Officer

Responsibilities

  • Be actively involved in and overseeing all programmes from its development to implementation stage
  • Manage, mentor & guide team members and ensure that the teams are well-coordinated
  • Analyze the effectiveness of the programmes via guiding the developement of the key performance indicators and impact measurements to increase the postive social impacts
  • Be innovative and willing to challenge the status quo

Commitment Period

At least 5 hours per week and 1 hour meeting fortnightly

  • Prior experience in programme execution and demonstrate leadership skills
  • Display empathy, curiosity and be adaptable to changes
  • Passion for ABYA’s mission and vision to make an impact to the youth

Partnership Development

Head of Partnership

Responsibilities

  • Oversee the Partnership department and ensure the team members work are on track
  • Strategise the partnership roadmap with the Executive Committee
  • Identify key opportunties for ABYA and manage stakeholders relations with stakeholders
  • Provide guidance and mentorships for junior partnership executives

Commitment Period

At least 2 hours per week

Partnership Executive

Responsibilities

  • Source for potential partners.
  • Manage email outreach and conversation with potential partners.
  • Meet potential partners either through physical meetups or video calls.
  • Prepare content for partnership outreach materials.

Marketing

Social Media Manager

Responsibilities 

  • Manage social media activities on the assigned channels (Meta, LinkedIn, Telegram, etc.)
  • Responsible for audience engagement and communication with the community
  • Schedule media plans & prepare caption per post to convert and improve interaction
  • Work with relevant teams/departments to implement key focuses on timely manner
  • Contribute to Marketing activities and ABYA community by proactively propose new ideas, frameworks.

Commitment Period

At least 2-3 hours per week

Web Developer

Responsibilities

  • Update the website content on ad hoc basis
  • Improve the website design and style

Commitment Period

At least 1-2 hours per week

Requirement

Proficiency with WordPress is preferred

Content Editor

Responsibilities

  • Write blog articles / social media content regarding ASEAN and ABYA events
  • Vet written blog articles / social media content
  • Evaluate written content in monthly discussion meetings and propose improvements

Commitment Period
At least 3-4 hours per week

Requirement

2 – 3 writing samples of any kind on any topic

Outreach Manager

Responsibilities

  • Liaise with external organizations regarding Marketing
  • Follow up to build sustainable partnership plans on behalf of ABYA Marketing’s interest
  • Propose and spearhead various initiatives to increase the reach of Marketing efforts
  • Set up structure of work, standard and improve the outreach effectiveness through different activities

Commitment Period

At least 2 hours per week

Outreach Specialist

Responsibilities

  • Prepare and conduct research on potential leads/partners to convert
  • Support Outreach Manager in contents, materials before partner engagement
  • Facilitate the activities with other teams to ensure successful partnership between ABYA and potential partners.

At least 1-2 hours per week
